Detailed Job Description:

Key Responsibilities:
Catering Services:

  • Co-ordinate the general housekeeping of the entire catering department.
  • Co-ordinate the cafeteria and event set-up.
  • Ensuring the food is served to all the students in time.
  • Maintaining inventories of Kitchen equipment, tools, crockery, cutlery etc.
  • Procurement of Kitchen equipment, tools, crockery, cutlery etc.
  • Ensuring food is served as per the menu planned by the dietician.
  • Ensuring the adherence of FSSAI policies while preparing food.
  • Getting the Food Analysis tests done on a regular basis and maintaining the report of the same.

Housekeeping - Maintaining the Property:​

  • Ensuring Cleaning and maintaining of lobby, classrooms, washrooms, floor passages, refuge areas, MPH, tennis court, squash court, library, cafeteria, playground and school compound.
  • Making of schedules and checklists and maintaining them daily, fortnightly and monthly.
  • Ensuring the chemicals, equipment and machines used are of appropriate type and quantity as per the material on which it is used.
  • Taking regular briefings of supervisors and guiding them to ensure better output of the department.
  • Ensuring the training programmes are in place and are scheduled regularly for the housekeeping attendants.
  • Procuring housekeeping amenities and maintaining inventories cost effectively.
  • Handling Housekeeping related complaints and problems.
  • Ensuring lifts are attended all the times during the school hours.

Office Support Management:

  • Scheduling duties of office boys and maids in the required areas
  • Organizing shifting and loading of things like furniture, cartons, chairs and tables for events, props ,etc.
  • Assigning duties to the maids for day to day operations and any other activities like pyjama party, field trips etc.
  • Assigning duties to the stewards.

Pest Control:

  • Ensuring the property is pest free by getting the areas fumigated from time to time.
  • Making schedules and monitoring them to ensure all areas are covered from time to time.
  • Getting special treatments done for rodent control, snake control etc.
  • Ensuring the treatments and frequencies increased and modified if required for better output.

Horticulture:

  • Ensuring all the potted plants in the premises are maintained.
  • Ensuring rotations of the plants are done on regular basis.

Façade cleaning:

  • Ensuring the façade is clean from the dirt and cobwebs all the times.
  • Getting the glasses and louvers cleaned from time to time.
  • Getting the parapets outside the windows cleaned and maintained.
  • Making schedules and maintaining them.

Waste Disposal:

  • Ensuring segregation of wet and dry waste.
  • Ensing dumping of waste is done in the designated area in the premises.
  • Getting the waste picked up from the premises time to time.
  • Sale or recycling of dry waste.

Asset Management:

  • Ensuring the School Assets like furniture, mats etc. are maintained and there are no damages and loss to it.
  • Ensuring the furniture and other items are used appropriately in the designated areas.
  • Maintaining inventories of furniture and other items.
  • Procurement of new furniture if any requirements arise and ensuring timely approvals order and delivery.

Co-ordination With Projects:

  • Collection, collation and handover of documents as-built drawings, specifications, maintenance manuals, warranties, contractors’ details for post project maintenance etc.
  • Making snaglists and ensuring area is completed and handed over after final finishing.

With MEP:

  • Making snaglists and forwarding it to MEP Department on regular basis.
  • Ensuring all complaints are attended and completed in time.
  • Working in loop with other departments like Admin, Admissions, Accounts, Academics etc. to ensure smooth operations.

Vendor Management:

  • Selection of right vendor. Getting competitive bids from vendors. Negotiation of rates. Monitoring their performance. Communication and co-ordination with them on regular basis.

Documentation:

  • Processing bills, making Work orders/Purchase Orders, Making Reports, Budgets, P&L, MIS.
  • Making Agreements, SLA, SOP, IOM.
  • Making Performance and Audit Report.

Petty Cash:

  • Procurement of required materials by cash, collection of cash invoices.
  • Making settlement sheet in excel, getting approvals signed and submitting the same to Accounts department for obtaining petty cash.
  • Follow-up of petty cash after submitting invoices, for next procurement.

Event Management:

  • Pre-event and on-site communication
  • Task assignment to the Staff involved in the Event Team.
  • Determine and prepare budgetary recommendations and prepare event programs and confirm all preparations are in order.
  • Work closely with Academics, Administration, Security, MEP and Accounts Department to oversee and facilitate event processes.
  • Lead the Event team to ensure smooth execution of the event.
  • Negotiate agreements with outside contractors and service providers to ensure lowest cost and highest quality of services.
  • Work closely with internal and external event planning team to define event goals, objectives and implementation plans.
  • Source venues, recommend and engage Catering services and plan menu for the events as per the requirements.
  • Organizing Post-Event clearance and cleaning of the area.
